The PTCAS application process spans months, and poor timing is one of the most preventable reasons applications run into trouble. Verification takes weeks, transcripts take days to post, and references arrive on their own schedule. This month-by-month checklist covers what to do and when, with specific processing times so you can plan backwards from your deadlines.

February through April: Pre-Application Preparation

Research and plan your program list. Use the PTCAS Program Directory to compare prerequisites, observation hour requirements, GRE requirements, reference requirements, and deadlines. The average applicant applies to 5.3 programs. Build a balanced list of 5 to 8.

Take the GRE if needed. Check which of your target programs still require it. If any do, take the test 6 to 8 weeks before PTCAS opens so scores are ready. Scores take 8 to 10 days to become available. See our complete GRE guide for prep strategies.

Start your essay. The 2026-2027 prompt asks: "As a prospective Doctor of Physical Therapy, how do you see yourself having an impact on the profession upon entering the field?" Begin brainstorming and drafting now, well before the portal opens. The essay has a 4,500-character limit (~550 words) and cannot be edited after submission. Cultivate recommender relationships. Start building or strengthening relationships with potential recommenders 5 to 6 months before you need letters. Most programs require 1 to 3 references, typically from a licensed PT and a professor. See our letters of recommendation guide.

Finalize observation hours. Log all hours, confirm supervising PT contact information, and ensure you have the diversity of settings your target programs expect. Our observation hours guide covers what counts and how to document everything.

Order personal transcript copies. Get unofficial copies from every institution you attended. You will use these as reference when entering courses into PTCAS.

May: Final Pre-Application Tasks

Request a fee waiver if eligible. PTCAS fee waivers cover the initial $175 fee (not per-program fees). They are limited and first-come, first-served. The deadline to request is May 29, 2026. You must request before submitting your application and submit within 14 days of approval, or the waiver is voided. Call 617-612-2040 to check availability.

Finalize your essay. Have 3 to 4 people review it: an advisor for content, someone who knows you well for authenticity, someone who does not know you for clarity, and a proofreader for grammar. Write the final version in a plain text editor (not Word) to avoid formatting issues.

Formally ask your recommenders. Give them at least 4 to 6 weeks before your target submission date. Provide your resume, personal statement, and list of programs with deadlines. Warn them that the Liaison Letters email may go to spam.

June: PTCAS Opens

The 2026-2027 cycle is expected to open approximately June 15, 2026. Here is what to do in the first week:

Day 1-2: Complete "Colleges Attended." This is the most critical first step. PTCAS cannot post transcripts until this section is finished. List every institution you attended, even for a single course.

Day 1-2: Order official transcripts. Send them to PTCAS immediately. Electronic transcripts via Parchment or National Student Clearinghouse are accepted. Paper transcripts go to PTCAS Transcript Processing Center, PO Box 9112, Watertown, MA 02471. Transcripts take up to 5 business days to post after PTCAS receives them.

Day 1-3: Set up references. Add your recommenders in the Program Materials section for each program. References are now program-specific (not global). Your recommenders will receive an email from support@ptcas.myliaison.com with a link.

Day 1-3: Set your FERPA waiver. This must be decided before requesting references and is binding. Most advisors strongly recommend waiving your right to view letters.

Day 3-7: Send GRE scores. Each program has its own PTCAS GRE code. Look up codes in the PTCAS Directory. ETS delivers scores in approximately 5 business days.

July: Course Entry and Application Building

Enter all coursework. This is the most time-consuming part of the application. Enter every course from every institution using your official transcript as reference, matching the exact prefix, number, title, credits, and grade. Include labs, PE, withdrawn courses, and repeated courses. Our transcript tips guide covers the most common errors.

If you prefer to have specialists handle this, the Professional Transcript Entry service costs $69 to $145 and takes up to 10 business days. You must approve their entries or your application stays incomplete.

Enter observation hours. Include every experience with facility information, dates, setting type, patient populations, and supervising PT contact details.

Paste your essay. Copy from your plain text editor into the PTCAS text box. Verify that paragraph breaks survived (use double returns). Check the character count.

Review supplemental requirements. Many programs require additional essays, fees, or forms beyond the core PTCAS application. Supplemental deadlines may differ from PTCAS deadlines.

Target: Submit by late July or early August. PTCAS recommends submitting 6 to 8 weeks before your earliest deadline. If your earliest deadline is October 1, submit by mid-August at the latest. Programs with rolling admissions (like Baylor) fill seats as applications are reviewed, so earlier is better.

August through October: Priority and Early Deadlines

Some of the earliest program deadlines:

  • UNLV: September 2 (priority)
  • Loma Linda: September 1 (preference group)
  • University of Iowa: September 15 (priority)
  • University of Nebraska Medical Center: September 15
  • University of Utah: October 1
  • University of Colorado: October 1

Monitor your application status through your PTCAS account. The status progression is: In-Progress, Received (submitted but missing materials), Complete (all materials in), and Verified (GPAs calculated, available to programs). PTCAS will not notify you about missing references, so check proactively.

Verification timeline: Officially up to 10 business days after "Complete" status. During peak periods (September through November), real-world processing can take 4 to 5 weeks. Programs do not receive or review your application until verification is complete.

Follow up on references. If any show "Requested" or "Accepted" but not "Completed," send polite reminders. Frame it as "checking if you need anything from me."

October through December: Regular Deadlines

The majority of program deadlines fall between October 1 and November 15, with some extending to December 1 or January.

Academic Update window (for the current cycle):

  • Opens: December 15
  • Priority deadline: January 18
  • Closes: February 16 at 11:59 PM ET
  • Eligibility: At least one program must be in "Verified" status by the close date

The Academic Update lets you submit final grades for courses that were in-progress when you applied. Grades can only be updated once, so wait until all fall grades are posted before submitting. Send updated transcripts only after receiving the confirmation email.

January through April: Interviews and Decisions

Prepare for interviews immediately after submitting your application. Do not wait for an invitation. Research each program's format: traditional, MMI (timed stations), group, or video-based (like UAB's KIRA assessment). Practice with mock interviews. Know current PT issues (direct access, ethics, APTA positions). Be ready to expand on anything in your essay.

Interview timing varies:

  • Programs with early deadlines may interview as early as October or November
  • Most programs interview January through March
  • Decision notifications range from December (UAB) through April
  • USF Health notifies all applicants by February 1

Seat deposits are typically due within 1 to 2 weeks of an offer and range from $200 to $1,500. These are almost always non-refundable and applied toward first-semester tuition.

If You Are Not Accepted

About 41% of PTCAS applicants are not accepted in a given cycle. Reapplying is common and not penalized.

PTCAS carries over your colleges attended, verified courses, transcripts, test scores, observation hours, and activities. It does not carry over essays, references, payments, or program-specific materials. Use the same account (do not create a new one).

The single most important timing rule: count backwards from your earliest deadline and add buffer at every step. If your first deadline is October 1, submit by mid-August, order transcripts in mid-June, and have your essay and recommenders ready before PTCAS opens.
